Privacy Notice

The terms ‘We’, ‘Us’ ‘Our’ or ‘the University’ refer to the University of Strathclyde Careers Service, and to the University of Strathclyde as a whole. The term ‘You’ refers to students, and alumni of the University. The term ‘Marketing’ refers to any communication regarding the objectives or activities of the Careers Service.

What data do we collect and why?

We collect information including, but not limited to, name; phone number(s); email address(es); title; degree programme.

For current students, we collect this information directly from the University’s student record system as long as you remain a registered student at the University.

For alumni who have used the Careers Service during their period at University, we continue to hold data after graduation for a period of two years.   During this time, if you choose to use the Careers Service, we will collect a personal email (non-university) address.

For alumni who have not used the Careers Service during their period at University, we collect this information from an online sign-up form.

For all users, we collect information about careers events and appointments attended and bookings for future events.

 

What do we do with the information?

We use the personal information collected to:

§  Communicate with students and alumni about events which we believe may be of benefit to them in their career planning

§  Offer careers services such as careers advice, careers information services, networking opportunities, employability and skills events and workshops, and exclusive experiences (like employer insight days);

§  Survey students and alumni to process experiences and feedback in order to improve the services offered by the Careers Service;

§  Invite you to events and process event registrations;

§  Provide you with access to internship and graduate opportunities through our vacancy portal MyCareerHub Strathclyde

§  Generate statistics and reports about use of the service in order to better understand demand and impact

We communicate with you via email. Those not subscribed to receive email will miss most of our event invitations and updates 

We may communicate via telephone to inform you of appointment or event changes.

We store the information collected on our own secure database, which is hosted on the University’s own secure internal servers. Any information stored for the purposes of career support is held securely.

Legal basis for processing

Under data protection legislation we are required to identify our legal basis for processing. The legal basis for using your information is contract, public task and legitimate interests.

Sharing your information

We would never sell your data to third parties.  Data would only be shared with third parties in exceptional circumstances, e.g. we are required to do so by law

Expiry and Retention

For students your data will be retained as long as you remain a student at the University and for two years thereafter as alumni data.

For alumni your data will be retained for one year after your account expires.

Alumni accounts generally expire after 12 months.   Should you wish to continue to use the Careers Service after your account has expired, please talk to staff who will be happy to extend your account up to a maximum of five years after graduation.

Should you wish to use the service after your account has been deleted, you may re-register easily through our online sign-up form.

Your rights

 Under data protection legislation, you have a number of rights* including the right to:

  • withdraw consent, at any time, where that is the lawful basis of our processing;
  • access your personal data and obtain a copy, free of charge;
  • rectify inaccuracies in personal data that we hold about you;
  • erasure, that is have your details removed from systems that we use to process your personal data;
  • restrict the processing in certain ways;
  • obtain a portable copy of data you have given to us in a commonly used electronic form; and
  • object to certain processing of your personal data by us.

*Please note that the ability to exercise these rights will vary and depend on the lawful basis under which the processing is being carried out.

Complaints

If you wish to make a complaint about how we have handled your personal data, you can contact the Data Protection Officer at dataprotection@strath.ac.uk

If you are not satisfied with our response or believe we are not processing your personal data in accordance with the law, you also have the right to complain to the Information Commissioner’s Office (https://ico.org.uk/concerns/).
